Migrating your Data into Tabs CMMS & CAFM
Tabs FM follows a structured and collaborative approach to data migration, ensuring data integrity, traceability, and compliance throughout the process. Our methodology allows for flexibility depending on the quality, format, and source of existing asset registers.
1. Initial Data Scoping and Review
- We commence with a discovery session to review current data and data sources (e.g. spreadsheets, databases, legacy systems).
- Key data fields are mapped and assessed for quality, structure, and completeness.
- We identify any gaps, duplicates, or inconsistent records requiring cleansing or transformation.
2. Data Template Provision and Mapping
- Tabs FM provides a structured import template aligned with the system’s schema.
- A data mapping exercise is conducted, aligning the client’s data fields with Tabs FM fields (e.g. asset types, locations, parent-child hierarchies, maintenance profiles).
- Validation rules are shared to ensure the correct formatting of critical fields such as unique IDs, service intervals, dates, and asset categories.
3. Data Cleansing and Transformation
- The client, with our support if required, prepares the dataset for import.
- Optional data transformation services are offered to clean, consolidate, and format asset data, including:
- Standardising asset names and classifications
- Organise third party specialists to assign SFG20 maintenance schedules (if applicable)
- Aligning site/location hierarchies
- Removing legacy or decommissioned records
4. Test Import and Validation
- A sample dataset is imported into a staging environment for testing.
- Tabs FM conducts a full review of the imported records, checking for completeness, accuracy, and alignment with system configuration.
- The client is invited to review and sign off on the sample data prior to full import.
5. Full Data Import
- Upon approval, the full dataset is imported into Tabs FM via our import tools or through direct integration, depending on volume and format.
- A full audit trail is maintained during the import process for compliance and transparency.
6. Post-Import Review and Sign-Off
- Once imported, Tabs FM will generate exception reports highlighting any anomalies or records not migrated due to formatting or logic errors.
- The client is given time to validate the asset data within the live environment.
- Any required corrections are made, and a final sign-off is recorded.
7. Ongoing Data Management
- Tabs FM supports continuous data improvement through user-friendly tools for bulk editing, audit logging, and integration via API with third-party systems (e.g. BMS, IoT sensors).
- We offer optional data enrichment or SFG20 asset profiling as part of ongoing support.
